Reservation and Rescheduling Policy

We are very excited that you are interested in enjoying classes, private lessons and/or private events at Philadelphia Woodworks!  The following Reservation and Rescheduling Policy helps us create and offer the best and most enjoyable experiences for you that we can, as affordably as we can.

Payment Required to Reserve Class Spots.  To reserve one or more spots in a class payment must be received at the time of reservation.  Call us, use our online class reservation portal or stop by the shop to reserve your spot today. Our contact information is below and under “Contact Us“.

Reservations are Non-Refundable.  Payments for reservations in our classes, camps or events are non-refundable.  Rescheduling of a reservation with at least 14 days of notice is possible.  Please note that this notice window is extended to be 21 days for our kids programs and summer camps. See below for more information on rescheduling.

Minimum Age. Participants in our adult group class must be 18 years of age or older to enroll themselves in our activities.  There are many opportunities for minors to participate in our classes, lessons and events with the permission of parent or legal guardian.  Just call us at 267-331-5880 to inquire.

Limited Spots in Classes and Events. All of our classes, camps, events, etc. have limits as to the maximum number of participants as well as the minimum number of participants for the event to be able to run. When classes reach max reservation and ‘sell out’, we will take a waiting list but we highly recommend that you reserve a spot in the next offering of that class just in case.  Classes that do not reach their minimum reservation level within three days of start time may be canceled and all of those who are reserved will be notified by email, phone and text as quickly as possible.

Arrival Time and Waiver: Please arrive no later than 15 minutes before the start-time of your class. Before starting a class, all participants must have executed a Waiver and Release of Liability. We can send you this Release in an email in advance if you like – just ask.

Rescheduling of Class, Camp or Event Enrollment by Participant.  We understand the need for last minute requests to reschedule a reservation, however we cannot honor requests with less than 14 days of notice as our events are limited to a small number of participants and others are turned away once a spot is taken.

For rescheduling requests with notice of 14 or more days, all monies paid will be held on account at PW for use with a future class, camps or event reservation.  If the cost of the class, camp or event is more or less in the future than what was originally paid, the difference will need to be collected (if the new cost is higher) or some credit will remain on file (if the new cost is lower).

For rescheduling requests with less than 14 days notice, a credit for use in the future at PW will only be available if we are able to fill your spot with a new customer at the same price.  If your spot is filled last-minute at a lower price, you will only be credited for the amount received for the replacement enrollment.  If your spot does not fill with a new enrollment, no credit will be available.

Again, all of the same policies apply for our kids programs but for the longer notice period of 21 days.

Cancellation of a Class or Event by PW for Snow/Ice.  Please see our snow policy here.

Any winter class that has a snow date reserved for it by PW will have had such date posted and reserved since the time of posting the class. Students are expected to reserve snow dates on their calendars in case they need to be utilized.

Cancellation of Class or Event by PW for Any Other Reason.  From time to time, circumstances beyond our control arise and classes must be postponed or cancelled, sometimes with little advance notice.  PW will make every effort to reach all reserved class takers by email, phone and text as soon as such an event arises.  In the event of such a cancellation, PW will maintain a full credit of all monies paid toward any future class, camp or event at PW.

Private Instruction Sessions. Our cancellation policy for private lessons requires ample notice to be given to us as we turn away others once a time is booked. Appointments cancelled with less notice given than required will be charged for 50% of the amount of time reserved, with a minimum payment of one full hour. It is very unlikely that with short notice we will be able to resell time that had been reserved specifically for you and for which others had been turned away.  The amount of notice needed depends on the length of the session booked as follows:

  • Lesson Duration Less Than Two Hours: 48 hours of notice needed
  • Lesson Duration of Two Hours or More:  5 days of notice needed

While we accept payment for private lessons as cash, check or Venmo only, all private instructions require a credit card on file as security to hold your reservation, so please have your credit card ready when booking.  You will not be billed unless there is a cancellation without sufficient notice.

Private Parties and Events. Payment for private parties and events are final and non-refundable.  The date and time of a private party may not be changed once booked as we reject all other request for private parties or group classes for that date and time.
